Expectations & Duties of the Regional Counselor

DUTIES

A regional counselor is an alumnus volunteer. After the approval of an application, he is assigned to one or two chapters. Counselors' main duties are to:

  • Visit each assigned chapter and/or colony at least once per year. The visit should include a meeting with the executive council, the president, the new member class, the chapter advisor, the entire chapter, and if possible, the administrator responsible for men's fraternities.
  • Assist, as requested, with members of the Leadership Education Committee with the programs of the Mid-Year Leadership Challenge.
  • Attend Chapter Leadership Conference, National Convention, Mid-Year Leadership Challenge, and any other national and regional events, if needed.
  • Be available by phone on an on-call basis for chapters, chapter advisors, and the official family.
  • Act as the representative of the International Fraternity to your assigned chapters and colonies.
  • Act as a liaison to chapter advisory boards and meet with advisors during chapter visits.

 EXPECTATIONS

1. Will complete the Regional Counselor training program.

2. As an official representative of Theta Chi Fraternity, represent the International Fraternity in a positive and professional fashion.

3. Be familiar with the Ritual, National By-Laws, and our risk management policies, including the definition of hazing.

4. Answer correspondence or request for information in a timely fashion, i.e., one week.

5. Visit assigned chapters at least once a year, at a minimum. Two visits each year is preferable. Contacts may also include phone and e-mail. Chapter or colony visits for special occasions -- visits other than those regularly scheduled -- should be cleared by the National Counselor prior to the visit.
     a. Maintain regular phone and/or e-mail contact with assigned chapter(s) throughout the year.

6. Submit reports to the National Counselor, Regional Director, and Director of Chapter Services on all official chapter or colony visits within fourteen (14) days after the visit.

7. All reasonable costs for official visits and communications with chapters and colonies may be submitted for reimbursement from the Regional Fund.
     a. Counselors shall submit all applicable receipts for expenses to the Director of Chapter Services within 30 days after the visit.
     b. Mailing costs should be devoted to chapter and colony communications except when urgent information is required from International Headquarters or national officers.
     c. Counselors are expected to be prudent in incurring expenses on behalf of the Fraternity.

8. Contact and actively support alumni board/corporations and colony advisory boards. Communicate with board officers at least once each semester/quarter. If a chapter does not have an alumni corporation, counselor will assist in creating one.

9. Assist chapters with special needs. Examples include: recruitment and recruitment schools, scholarship programming, community service projects, new member education, risk management programming, and alumni programming.

10. Support the International Headquarters staff with Leadership and Education Consultant visits and chapter incidents or problems.

11. Plan and implement an annual retreat for chapter and colony officers, new members and/or neophytes from chapters and colonies in the region.

12. If selected, plan to attend any national events or conferences and help facilitate.

13. Apply to facilitate at Mid-Year Leadership Challenges, Deranian Presidents Conference, Recruitment and Retention Workshops, and any other conferences or workshops when they are held in the area.

14. Each year complete and return a Commitment Form stating your desire to continue as a Regional Counselor. The form must be on file at the IHQ.
